Understanding subscriptions
Category: Payments
Summary:
This article describes the subscription plans-what's included, how to manage them, and how to cancel.
Overview
A Schild subscription is a product billing plan. The products are 1 month, 2 months, and 3 months of Schild services. Each product bills in three categories: maximum number of active users, maximum amount of stored data, and total number of data operations in a billing cycle. Each category is a line item on invoices.
The subscription billing cycle is the current billing period. If it's a one month subscription, the billing cycle is the last paid or start date plus thirty days. If it's a two month subscription, the billing cycle is the last paid or start date plus sixty days. If it's a three month subscription, the billing cycle is the last paid or start date plus ninety days.
Included services
All subscriptions provide full access to all services. These include operational asset tracking, organizational communications, document storage and distribution, operations, human resource management, invoicing and accounting, and operation reporting.

Trial periods
- First subscriptions begin with a one month trial period. Organizations can cancel anytime, and Schild services cease at the end of the period.
- At the end of the trial, subscriptions automatically begin.
Subscription page
In the admin panel organizations can view their current subscription status by navigating to: Payments → Subscriptions. On the page, the following is accessible:
- Product: The plan.
- Status: Active, trialing, canceled, etc.
- Trial period: Start and end dates.
- Start date: When the subscription began.
- Next billing date: When the next invoice will be received.
- Last paid: When Stripe last collected payment.
- End date: When the subscription was canceled, if canceled.
- Organization: The subscribing organization (you).
Payments and invoices
- All invoices appear in the Payments section under each subscription. The amount is the amount due on the invoice.
- Invoice PDFs can be viewed and downloaded by clicking the PDF links in each item.
Rules
- Organizations can only have one active or trialing subscription at a time.
- If an organization cancels a subscription and wishes to signup again, and the organization has an unpaid invoice, the invoice must be paid first to reactivate. After a duration Stripe stops attempting to collect payment. The only way to reactivate is by contacting us.
- Organizations can cancel anytime. Organizations can cancel by contacting us or canceling in the admin panel. Canceling in the admin panel cancels the active subscription at period end. To cancel effective immediately, please contact us. Regardless, the fees incurred up to the point of cancelation are owed.
- Organizations can change their subscriptions, but changes are not effective until the start of the next billing cycle. Changing a subscription cancels the current subscription and proceeds with the added subscription at the start of the next billing cycle.
Post cancellation
- You've cancelled your subscription for whatever reason. First thing to do: Download all data by exporting all CSVs, downloading all documents, and downloading all photos. At least three weeks and no greater than one month after the latest subscription is canceled, all cloud stored data is automatically deleted.
- If after a time you'd like to come back, sign in to administration, update the billing information, and subscribe to one of the available products. In the case there is an unpaid invoice, you cannot resubscribe until the invoice is paid. Please contact us if that's the case.
Failed payments
- In the case an attempt to collect a payment on an invoice fails, subscription statuses are automatically updated and you'll receive an email. Attempts to collect payment continue for two weeks, and in the case all attempts fail, subscriptions are automatically canceled.
Permissions
- Organizations can delegate subscription responsibilities by adding appropriate permissions. The permissions are add, change, and view. Super administrators have these permissions without explicit assignment. All others must be granted permission by those with add or change permission permission.
